Terms and Conditions

Registration for ABC 2018 is to be made electronically by completing the respective registration form provided on the ABC 2018 website (www.austrianbone2018.org). Registration forms without full name, complete email, postal address and date of birth cannot be processed. Registration fees depend on the date your payment is received at the ABC 2018 bank account and will be considered as incomplete and adjusted accordingly if the payment is not received by the relevant deadline. The relevant ABC 2018 registration deadlines are:

  • Until September 30, 2018:
    Pre-Registration & payment at the reduced rate
  • September 30, 2018 – November 1, 2018:
    Pre-Registration & payment at regular rate
  • November 2, 2018:
    Deadline for pre-registration. New/additional registrations prior to the congress can no longer be accepted.

Student and Trainees Registration
Reduced student registrations will be offered to students without any academic title or to postgraduate trainees working towards a degree in osteology or an associated field. Students have to upload a copy of their valid student picture ID during the online registration process. In case this confirmation is not received, the registration fee will automatically be adjusted to a regular fee. The age limit for a registration as Student is set at 30 years (incl. the age of 30). Trainees have to upload a written confirmation letter during the online registration process signed by the head of department, confirming their status as such.

Payment of registration fee can be made either by bank transfer or by credit card (VISA or MasterCard). Payment by cheque or in any other way is not accepted. Registration fees depend on the date the payment is received at the ABC bank account and will be considered as incomplete and adjusted accordingly if the payment is not received by the relevant deadline.

Payments should be made without charges for the beneficiary. Any bank charges will be collected onsite. For payment via bank transfer, clearly state the participant’s name(s) matching with the name(s) on the registration form and the registration number as well as the invoice number.

Notice of cancellations must be made in writing by email or fax to the congress office. Registration fees may be refunded as follows:
Written cancellations received:

  • before September 30, 2018: 75% refund
  • between October 1 and November 1, 2018: 25% refund
  • after November 2, 2018: no refund

The date of receipt of the email or fax will be the basis for considering refunds. Please state your bank details (IBAN and BIC) on your written cancellation. Refunds will be made after the congress.
No exceptions to the refund policy can be made, including health or family issues, however, we welcome substitute delegates at any time. By registering to the ABC 2018 participants agree that neither the organising committee nor the congress office assume any liability whatsoever.

A handling fee of EUR 50.– will be charged for every name change to an existing conference registration. A new registration form for the substitute delegate should NOT be submitted. Name changes will be accepted by email indicating the old and new names including the required contact details until September, 2018. After this date, all name changes must be carried out on-site and paid directly.

The safety of all meeting delegates and participants is of utmost importance to the ABC 2018 congress office. Badges must be worn visibly on the meeting grounds at all times. The ABC 2018 congress office reserves the right for staff to check participants‘ identification upon admission to and/or inside the meeting venue. Participants may at any time be requested to present adequate proof of identity in the form of a passport, driver’s license or student ID. Documents for the proof of identity must include a photograph and signature.

The meeting material (badges, etc.) will be made available to the participant onsite.

The participant acknowledges that photos will be taken during lectures, presentations, speeches and other scientific events as well as in the exhibition area and in the reception area. Pictures taken during the conference may also be used for other educational projects.

Cancellation of the conference
In the event that the conference cannot be held or is postponed due to events beyond the control of the conference organisers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organisers, the conference organisers cannot be held liable by delegates for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc.
Under these circumstances, the conference organisers reserve the right to either retain the entire registration fee and to credit it for a future conference, or to reimburse the delegate after deducting costs already incurred for the organisation of the conference and which could not be recovered from third parties.

Modification of the programme
The conference organisers reserve the right to modify the programme. No refunds can be granted in case of cancellation of speakers, lack of space in the conference room or any other incidents during the conference which are beyond the control of the conference organisers.

Data protection and sharing of contact details
The protection of your data and the observance of your right of informational self-determination with regard to the collection, processing and use of your personal data are important to us. The ABC will collect and store all personal data for the preparation and execution of the Austrian Bone Conference 2018 (ABC 2018). In order to facilitate border entry and visa applications, the ABC will share contact details of concerned delegates with Austrian immigration authorities. The ABC periodically performs e-mailings to delegates on behalf of third parties regarding activities at the conference or other communications, which may be of interest. Email contact details of delegates will not be passed on to third parties. Participants may opt out of these emailings at any time. This will not affect official correspondence from the conference secretariat.

The conference organisers shall be held liable in the framework of a duty of care as a respectable businessman according to statutory provisions. The liability of the conference organizers – for whatever legal reason – shall be limited to intent and gross negligence. The liability of commissioned service providers shall remain unaffected by this. The delegate shall take part in the conference at his/her own risk. Oral agreements shall not be binding if these have not been confirmed in writing by the ABC.

Fulfilment and jurisdiction
The terms of this contract shall be fulfilled in Vienna, Austria and, in the event of any legal claims arising from either party, Vienna, Austria shall be the sole court of jurisdiction.
